Office Policies
24 Hour Cancellation
If you need to cancel a session, please call 24 hours before your scheduled appointment. You can call (510) 225-4040 or text your therapist. There is no charge for the cancellation. However, please refer to the “Max. # of Cancellations” below for additional details. If you do not cancel, we will expect you to pay for the missed session in full.
If you are using insurance, you will be billed directly for the session at the contracted rate your provider has negotiated. Your provider does not pay for missed sessions.
Advance notice will allow us time to reschedule other clients who could benefit from the availability.
These policies apply to us as well. We will call you with at least 24 hours' notice if we need to reschedule. If for any reason we miss our scheduled appointment without notifying you, your next session will be free of charge.
True emergency situations that cannot be foreseen can be negotiated (sudden illnesses, accidents, or unpredicted loss of childcare).
Maximum Number of Cancellation
Your time is reserved for our work together. In addition to the above cancellation policy, we will only allow one cancellation per quarter [every 90 days]. If you cancel, due to business travel or other commitments, beyond the one cancellation per quarter, you will be responsible for the contracted session fee.
Please note that some insurance provider does not allow for a cancellation fee, therefore if the maximum cancellations have occurred we will need to refer you back to you insurance provider.
Session Time
Each session is 53 minutes. We will ensure you receive your full allotted time if we are running late. If you are running late, we understand that things happen and encourage you to come; however, we will utilize the time remaining for that session.
Health Insurance
We will bill your insurance provider for each visit, and you will cover the estimated co-payment, coinsurance or deductible amounts. The amount that you owe depends on the specific health insurance plan you have.
We recommend that every client be proactive and ensure that their insurer is paying for benefits you expect to receive. When using your healthcare insurance to pay for visits, we always recommend you call the number on the back of your insurance card to learn more about your mental health benefits.
Privacy Policy
At Nurturing Mind, Body & Spirit, we are committed to safeguarding the privacy and confidentiality of our clients. This policy outlines how we collect, use, and protect your personal information, including data obtaining through SMS communications.
Information Collection and Use: We collect only the information necessary to provide effective services, such as contact details (phone number, email) and information related to appointment scheduling and communication.
This information is used solely for the purposes of appointment scheduling, reminders, and important updates related to your therapy sessions.
Confidentiality and Data Protection: All client information is kept confidential and will not be shared with third parties without your explicit consent, except where required by law or necessary to ensure your care.
We implement standard security practices to protect your personal information from unauthorized access.
SMS Consent: By texting our office, you consent to receive SMS messages for appointment scheduling, reminders, and confirmations. This is solely to facilitate communication regarding your appointments.
You may opt out of receiving SMS communications at any time by replying "STOP" to any message from us.
Opt-Out Option: If you prefer not to receive SMS messages, you can let us know directly by responding with “STOP” to any SMS communication, or by informing our office. We will promptly honor your request to stop text communications.

Terms & Conditions
Scope of Services: Nurturing Mind, Body & Spirit provides mental health counseling services, including individual, couples, and family therapy. Services are provided based on professional standards and are subject to availability.
Payment & Billing: Payment is due at the time of service. Clients using insurance are responsible for co-pays, coinsurance, or deductible amounts as per their insurance plan. For clients paying out-of-pocket, payment is expected at each session.
Cancellations & Rescheduling: We require a minimum of 24 hours' notice to cancel or reschedule appointments. Clients who cancel without sufficient notice may be charged for the missed session, as outlined in our cancellation policy.
Client Responsibilities: Clients agree to provide accurate information, adhere to scheduled appointments, and communicate any changes to their availability in a timely manner.

Limitation of Liability: While we strive to provide high-quality mental health services, outcomes cannot be guaranteed. Nurturing Mind, Body & Spirit is not liable for any interruptions in service due to unforeseen circumstances, including emergency situations.
Changes to Terms: We may update these terms periodically. Clients will be notified of significant changes through email or our website.
